Bandwidth in the Back Office Article - Lodging Hospitality Magazine

As those in the hospitality industry know all too well, large and complex back-office operations can be a major cause of headache for senior IT management. A wealth of back-office logistics is required for the smooth and efficient running of a property, or a group of properties spread across a region, a continent or the world. Many strategic business operations can be optimized with timely access to real-time data.. Often, a variety of financial and accounting reports need to be gathered from a disparate group of hotel properties, sometimes across a large geographical region.

Access to high speed bandwidth enables hotel companies to cost-effectively build such interfaces using a variety of protocols, formats and methods.  The key of course, is access to a high-bandwidth Internet connection.  While high speed broadband connections have become readily available for hotel guests, the same cannot be said for those working within the hotel’s back office.

Comprehensive business process automation covering procedures from procurement through payment can be referred to as "procure-to-payment" technology. Procure-to-payment or purchase-to-payment (P2P) technology solutions automate all or most of the significant procedures from the point of order through payment in an integrated system, including

  • e-order (creation and transmission of electronic PO, which can be "flipped" into an e-invoice; other electronic order, e.g. via Web catalogue)
  • invoice capture (e-invoice and imaging)
  • invoice validation
  • workflow - invoice approval & coding, matching
  • exception management & dispute resolution
  • payment & remittance information
  • accounting (integration with GL)
  • record storage & retrieval
There are a variety of P2P approaches and none are identical. While by definition a procure-to-pay solution addresses the longest cycle among automating technologies, it may do so for only a particular segment or percentage of a company''s total spend. Some P2P technologies handle purchase-order spend only. Others are part of a commercial card system that works extremely well for that part of spend that flows through that system, which may be only 10 percent. A few solutions offer cross-border capabilities, including cross-currency payment and tax compliance. Birch Street is one of them.
